In today’s society where content is king and information is crucial, an event registration system can be the “make or break” of a conference, according to professional corporate events planner Kathryn Laslett of Corporate Challenge Events.

Registration systems are used today to collect information from delegates, potential or confirmed speakers, sponsors, exhibitors, contractors and staff.

This includes the basic information from delegates such as name, contact details, special dietary requirements, conference sessions and team building activities.

According to Ms Laslett, a good online registration system will have a front-end that delegates and presenters can use to submit information, and a back-end that organisers can access to view, change, download or report on information.

A good system can also be built into an event website and shared as a link, as well as customised to feature company or event branding.

Laslett said the basic functions should be simple to use and designed to be user-friendly.

“Once you start adding more customised features and extras such as travel, accommodation, session selection and team building activities, it can become a little more complex,” she said.

“There are companies like ours that, as corporate events planners, can set-up and manage a registration system or provide support with sourcing a system and some of the more complex features.

“We are a ‘one stop shop’ in that we can manage an entire event or just provide a registration system and support as required.

Ms Laslett highlighted that the right registration system for one company may not be the right one for another.

“It all comes down to what is going to work for your event and what functionality you require.

“A few things to consider in your decision… how often you are going to use it, how many registrations are you planning for, will there be a cost for delegates, how many questions do you need to ask, will files need to be uploaded and do you need it to feature your branding.

“There are different packages for most systems which all have different price points depending on many of these answers.”
